Best 15+ Pr Agencies in Rotterdam

Industrial and logistics clients shape public relations in Rotterdam

The commercial base here is shipping, freight forwarding, energy, chemicals, food processing, engineering, insurance and the technology built around all of it. Consumer campaigns happen, but the bulk of public relations spend goes on corporate and business to business work, where the audience is a customer with a procurement process, a regulator, an investor, a neighbour or a future employee.

That has a direct effect on who you should hire. The useful agency for this kind of client is one that can read a technical document, interview an operations manager without being led by the hand, and write something a trade editor will publish. Creative brilliance is not the constraint. Subject comprehension is, and it is worth testing in the pitch by asking a candidate to explain your business back to you in their own words.

Sustainability claims are a legal exposure, not a brochure line

Environmental messaging is enforced here more actively than in many markets, and the rules apply to the company making the claim rather than to the agency drafting it. Vague statements about being green, neutral or responsible now need substantiation that a regulator would accept, and the scrutiny is heaviest in exactly the industries this city is built on.

So ask a prospective agency what they do before a sustainability claim goes out, who checks the evidence, and what wording they will refuse to use. A firm that has handled this will talk about specificity, boundaries and verifiable figures rather than about storytelling. A firm that has not will hand you back a risk dressed as a campaign, and the consequences of a claim that cannot be supported land on your organisation long after the agency has moved on.

Dutch and English material serve two different audiences

Local and regional media work in Dutch and reach the people who live near your operations, work for you, might work for you, and sit on the councils that grant your permits. International trade and business press works in English and reaches customers and investors elsewhere. Those are different stories with different emphases, and translating one into the other satisfies neither.

Ask who writes each version, whether the English material is written by someone who writes English professionally, and how spokespeople are prepared for interviews in each language. Also ask about tone, because directness here is expected and evasion is punished: a statement that reads as polished corporate language in one market reads as untrustworthy in this one.

Incident communication when the operation is physical

Public relations planning changes shape where there are ships, terminals, tanks, warehouses and heavy vehicles, because the plausible crisis is an event rather than a controversy: a spill, a fire, a road closure, an injury, a disruption that keeps freight waiting. Neighbours and reporters will know within minutes, authorities have their own communication obligations, and what you say in the first hour becomes the quoted position for the rest of the week.

Ask what a crisis arrangement actually contains: mapped scenarios matched to your operations, an agreed decision chain that works when the chief executive is on a plane, holding statements already drafted, a spokesperson who has rehearsed, and monitoring that reaches you before a customer does. Ask what the response time commitment is at night and at weekends, and whether a senior person is contractually on call. Then rehearse it once, because a tabletop exercise reliably exposes the gaps in your own approval chain.

Trade media based here are read internationally

Specialist publications covering shipping, logistics, energy, commodities and industrial technology in this market are read by decision makers in other countries, which means a well placed piece in a niche title can carry further commercially than a mention in a general newspaper. Their editors are experienced, sceptical and short of time, and they discard marketing language instantly.

Ask which of those titles the assigned team has been published in over the past year and who their contact was. Ask whether they attend the sector's exhibitions and conferences, since much of the relationship building in this kind of journalism still happens face to face at events. Relationships also decay, so an example from several years ago tells you about the agency's history rather than its current access.

Site access, photography and the permissions nobody plans for

Stories about industrial operations need pictures, and getting pictures means safety induction, protective equipment, permits, customer confidentiality and sometimes port or terminal authority approval. This routinely takes longer than the editorial deadline allows, and it is the most common reason a good story arrives without usable images and gets a smaller slot than it deserved.

Settle it early. Ask who arranges access and who bears the cost, agree a standing image library shot in advance, and establish which customers, vessels, cargo or equipment may not appear in a photograph. Put ownership of photography and film in the contract, because material shot on your site under your permissions should not end up licensed back to you later.

Fees, staffing and reporting a board will actually read

Corporate public relations is normally retained, since a team that already understands the operation is worth far more when something happens at short notice. Projects suit a launch, an exhibition, a report or a milestone. Pricing based on a promised volume of placements is a poor fit and pushes towards the easiest outlets rather than the right ones.

Press the proposal on staffing: who works on the account weekly, how much of their time, who covers absence, what happens to the fee if they leave. Confirm what the number includes, from writing and translation through monitoring, reporting, event support and out of hours availability expressed as a response time. For reporting, ask for something short enough that a board will read it: whether your argument survived into the coverage, whether the outlets reach your customers, how the picture moved against named competitors, and what happened to enquiries. Advertising value equivalence belongs nowhere in a public relations report, and paid placements must be listed separately from earned coverage.

Comparing public relations agencies in Rotterdam

Send the same written brief to three or four firms. Include your audiences in each language, the technical material you can make available, the sensitive areas, spokespeople and their honest availability, and any fixed dates. Ask for a concise written reply covering the first ninety days, the named team, the exclusions and what they need from you. The exclusions are the most revealing part.

Because announcements rarely travel alone, keep the timing aligned with whoever runs your product and platform teams and your engineering suppliers when a launch is involved, and brief motion and film production early if the story needs visual material that a site visit cannot provide. Further verified firms appear in the communications agency directory, companies needing national reach often compare agencies in the neighbouring media market or specialists across the wider continent, and when the brief is ready you can send it to several verified agencies at once.
